How a vending machine move works

We ask what the machine is, roughly how much it weighs, where it is now, where it is going and what stands between the machine and the truck at each end: steps, stairs, elevators, narrow doors or a loading dock. That information decides the crew size, the equipment and whether the machine travels on a dedicated truck or as part of a consolidated load.

On moving day the crew protects the machine, takes it out on an appliance dolly or stair-climber, loads it upright and straps it to the wall of the truck. At delivery it is brought inside, set in place, leveled and left ready for you to plug in and restock.

How to prepare your machine

• Empty all product, cups and coins, and remove the cash box or bill validator contents.
• Unplug the machine. Refrigerated units should be unplugged and defrosted the day before so water does not leak in transit.
• Secure or remove loose shelves, spirals, trays and keys, and tape the door shut or lock it.
• Measure doorways, hallways, stairs and elevator doors at both locations, and note the machine's height, width and depth.
• Tell us about parking limits, loading dock hours or building rules before the move day.

What is included

Standard service includes blanket wrap and padding, or pallet and shrink wrap when the machine is shipping on freight. Liftgate service is used when there is no dock, and inside delivery means the machine is carried to the room where it will operate rather than left at the curb. Stair carries, crating for fragile glass fronts and short- or long-term storage between locations can be added when a move needs them.

Domestic and international options

Domestic moves range from across the street to coast to coast, and include single machines, full route moves and multi-site rollouts. For international shipments we crate the machine for ocean or air freight, prepare the commercial paperwork customs requires and arrange delivery from the port or airport to the final site. You provide the documents only the owner can supply, such as proof of ownership and any permits the destination requires.

What affects the price of a move

• The machine's type, size and weight. A refrigerated combo machine, a slot cabinet with a large top box and a countertop kiosk are very different loads.
• Access at each end: steps, stairs, elevators, narrow doors, tight turns, long carries and whether a loading dock is available.
• Extra services such as liftgate, inside delivery, crating, storage, or after-hours and weekend work.
• Timing. A fixed delivery date or short notice can cost more than a flexible pickup and delivery window.

Single machines, routes and multi-site moves

Moving machines in and out of different buildings

Every building type has its own access questions, and the answers decide the crew size, equipment and timing for the move.

• Offices and high-rises often require a booked freight elevator, a certificate of insurance and moves outside business hours. Tell us about building rules when you request a quote.
• Schools, hospitals and government buildings may have security check-in, set delivery windows and specific entrances for equipment.
• Warehouses and distribution centers usually have docks, which makes loading faster, but long walks inside the building still need to be planned.
• Retail stores, bars and restaurants are often moved before opening or after closing, through customer entrances with tight turns.

Storage and staged delivery

Not every machine can go straight from pickup to its new home. A location may close before the next one opens, a renovation may run late, or a route may be moving in phases. In those cases machines can be picked up, held in storage and delivered when the destination is ready. Storage is quoted by the length of the stay and the number of machines, and each machine stays wrapped and upright while it waits.

Staged delivery is also useful for multi-site rollouts, where machines arrive in one shipment and are delivered to several locations over a few days.

Delivery day and checking the machine

The crew calls ahead with an arrival window. Someone who can open the building and confirm the exact placement should be on site, and the route from the truck to the final spot should be clear. After placement the machine is levelled, unwrapped and the packing material is taken away.

Before the crew leaves, look the machine over together. Check the cabinet, door and glass, make sure shelves and loose parts are inside, and confirm it sits level and opens freely. Note anything wrong on the delivery paperwork with photos before signing.

Scheduling your move

Give as much notice as you can, especially for long-distance moves, fixed delivery dates or several machines.
